The Squad Management (Pty) Ltd (“The Squad Management”, “we”, “us”) is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”). This policy explains what information we collect, how we use it, and your rights as a data subject.
1. What Data We Collect
We collect personal information only when you voluntarily provide it to us through the forms on thesquadmanagement.co.za or by contacting us directly.
Enquiry form fields: When you submit an enquiry on our website, we collect your name, company name, email address, phone number, event date, event type, and the details of your staffing requirement. This information is necessary to assess your needs and prepare a relevant proposal.
Application form fields: When you apply to join our talent roster, we collect your name, email address, phone number, location (city), date of birth, gender, height, clothing sizes, languages spoken, experience summary, and a professional photograph. We may also collect identification documentation (South African ID or passport number) for compliance and employment verification purposes.
We do not knowingly collect personal information from persons under the age of 18 without the consent of a parent or guardian.
2. How We Use Your Data
Personal information collected through enquiry forms is used to respond to your request, prepare and send you a staffing proposal, and communicate with you about your event or campaign. We may retain this information to provide follow-up support and to understand your staffing needs over time.
Personal information collected through application forms is used to assess your suitability for placement on client briefs, to contact you about booking opportunities, and to maintain our talent database. We will not share your application data with a client without your prior knowledge.
We do not use your personal information for automated decision-making or profiling beyond the manual matching of applicants to client briefs. We do not sell, lease or share personal information with third parties for marketing purposes.
3. How Long We Store Your Data
Enquiry data is retained for a period of 24 months from the date of your last interaction with us. After this period, the data is securely deleted unless a contractual or legal obligation requires us to retain it for longer.
Application data is retained for as long as you remain active on our talent roster, or for a maximum of 36 months from the date of your last booking or contact with us, whichever is later. If you have not been placed on a booking in the preceding 36 months and have not responded to re-registration communications, your data will be archived and deleted.
4. Photo Retention Policy
Professional photographs submitted as part of your application are uploaded to secure cloud storage hosted in South Africa or within a jurisdiction that provides equivalent data protection. Photographs are used solely for the purpose of presenting your profile to prospective clients when matching you to a brief.
Photographs are retained for a maximum of 12 months from the date of upload. If your application is actively managed within this period, the retention period resets upon upload of a new photograph. You may request deletion of your photograph at any time by contacting us at [email protected].
5. Your Right to Request Deletion
As a data subject under POPIA, you have the right to request access to the personal information we hold about you, to request correction of inaccurate data, and to request deletion of your data where we no longer have a lawful basis for retaining it.
To submit a deletion or access request, please email us at [email protected] with the subject line “Data Request” and include your full name and the email address associated with your enquiry or application. We will acknowledge your request within 5 business days and respond fully within 30 days.
If you believe we have not handled your personal information in accordance with POPIA, you have the right to lodge a complaint with the Information Regulator of South Africa at www.inforegulator.org.za.
